Confirm scope and approvals
Who can authorise a change during an occupied-building strip-out?
Name the people who can approve scope, building access and technical changes separately. A person holding a key may be able to admit the crew without being authorised to change the removal boundary. Resolve that distinction before the first occupied-building shift.

Separate three decisions
The owner or appointed project lead should identify who accepts a scope change. Management identifies who can vary access or use of shared space. Questions about structure, systems or regulated materials go to the responsible professional. One contact can hold several roles, but the written instruction should say which role they are exercising. This prevents an informal request at the loading dock from becoming an unintended extension of the work.
Give each decision a usable record
For each unresolved item, record the location, drawing reference, question and person expected to respond. Add who needs the answer before proceeding. A contractor can describe the observed condition without deciding ownership or design intent. Send a single current decision list rather than separate messages whose answers never reach the people setting the shift plan.
What happens when the contact is unavailable
Agree which affected activity waits and which unrelated work may be reviewed for continuation. An unanswered call is not approval. At shift handover, carry unresolved decisions forward with a named contact, not simply a note that someone was told. Bring this responsibility list to the commercial strip-out assessment so the agreed removal scope and communication route stay connected.
