Coordinate occupied spaces

How should an office move be separated from the demolition start?

Create a clear transfer from tenant move-out to the removal team. Furniture leaving a floor does not prove that business records, retained equipment and active services have been dealt with. The demolition start should follow the agreed release condition for the actual work area.

Identify what the tenant still controls

List rooms or items that remain in use after the main move. Examples may include an active communications room, stored records or a reception point serving another floor. Ask the tenant to identify the responsible contact without sharing confidential contents. These exceptions belong on the work-area plan, not only in the moving company's instructions.

Coordinate the two routes

A moving team and a demolition team may need the same lift and loading bay for different materials. Management should confirm the sequence and when the route is released between them. Avoid mixing move-out items with debris awaiting removal. Ownership and destination should remain clear before either team handles an item.

Confirm release rather than infer vacancy

Arrange a walk-through with the authorised tenant or project representative. Mark rooms that are released, held or awaiting another trade. If move-out is incomplete, assess the impact on the demolition sequence rather than treating the intended move date as proof of readiness. The commercial strip-out enquiry can then distinguish the removal scope from the tenant's remaining relocation responsibilities.

Illustrative move with an exception area

During an office consolidation, desks and loose furniture leave one floor while an active records room remains. The move-out list therefore releases only named rooms. The tenant assigns the records and their eventual destination without sharing confidential contents with the demolition enquiry.

The project lead then compares those released rooms with the proposed strip-out. A later release of the exception room becomes a revised instruction, not an assumption that the first moving date cleared the entire floor.
